Quick Answer

Open Matches from the left sidebar to view candidate-job assignments across jobs, then use columns, filters, ownership fields, and stages to monitor pipeline activity.

## What the Matches Module Is

The Matches module gives recruiters a centralized view of candidate-job assignments across the ATS. Instead of opening each job one by one, you can review every candidate assigned to jobs from one list.

## What Counts as a Match

A match is created when a candidate is assigned to a job. Each row in the Matches list represents one candidate assigned to one job.

| Candidate | Job | Talent Stage |
| --- | --- | --- |
| John Smith | Software Engineer | Interview Scheduled |
| Maria Lopez | Product Manager | Submitted |
| Arjun Patel | Backend Developer | Screening |

## Why Use Matches

Use Matches to:

- View all assigned candidates in one place.
- Track hiring stages across jobs.
- Review match owner, candidate owner, and job owner.
- Monitor job status, source, skills, compensation, location, and resume availability.
- Search and filter candidate-job assignments.
- Customize visible columns.

## Where to Find Matches

Open the left sidebar and select **Matches** below Jobs. Candidates, Jobs, and Matches are grouped together in the ATS area.

## Important Columns

### Candidate

Shows the candidate name and links to the candidate detail page.

### Job

Shows the job name and links to the job detail page.

### Talent Stage

Shows the candidate’s current stage for that job.

### AI Score

Shows the AI match score when available.

### Organization and Primary Contact

Shows the client organization and primary contact linked to the job.

### Match Owner, Candidate Owner, and Job Owner

Shows responsibility across the assignment, candidate record, and job record.

## Edit Columns

Use **Edit Columns** to add, remove, or reorder visible fields. Candidate, Job, and Talent Stage stay fixed because they are core to the Matches workflow.

## Advanced Search

Use Advanced Search to filter by visible searchable fields, including:

- Candidate
- Job
- Talent Stage
- Match Owner
- Candidate Owner
- Job Owner
- Job Status
- Organization
- Source
- Skills
- Location
- Experience
- Notice period
- Salary fields
- Resume
- Visibility

## Permissions and Access

Matches follows Candidate and Job access rules. Users must have permission to view both Candidates and Jobs. If a user has owned-only access, the list is filtered by candidate or job ownership.

## Use Cases

### Review All Active Assignments

See every candidate assigned to jobs without opening job records individually.

### Track Candidates by Stage

Filter by talent stage to find submitted, interviewing, offered, or hired candidates.

### Review Recruiter Ownership

Filter by match owner, candidate owner, or job owner to understand workload and accountability.

### Monitor Pipeline Health

Combine job status and talent stage filters to see whether open jobs have enough active candidates.

## Troubleshooting

### Matches List Looks Empty

Confirm candidates have been assigned to jobs and that you have permission to view those records.

### A Candidate Appears More Than Once

That can be expected if the same candidate is assigned to multiple jobs.

### Filters Do Not Show Expected Values

Check visible columns and account configuration. Some filters depend on available searchable fields.

## Frequently Asked Questions

### Is Matches a separate database?

No. It is a global view of existing candidate-job assignment data.

### Can I open candidate and job records from Matches?

Yes. Candidate and Job columns link to their detail pages.

### Can Matches replace job-specific pipeline views?

No. Use Matches for cross-job visibility and job-specific views for detailed work inside one role.
