Recruitment Glossary

Job requisition

A job requisition is the internal request and authorisation to recruit for a new, replacement, temporary, or changed position.

Recruiter Focus

Recruiters use the approved requisition as the operating record for business reason, headcount, budget, employment basis, location, manager, compensation, timing, approvers, and vacancy status.

Why Job requisition Matters

A requisition prevents recruitment from beginning on an informal request that lacks budget, authority, or an agreed position. It also creates a traceable point for later scope, compensation, or timing changes.

Terms Recruiters Commonly Compare

Job order

A job requisition is commonly an internal employer approval. A job order is often the operational vacancy brief a staffing or recruitment agency receives from a client.

Recruitment Example

A department requests a replacement Account Executive. Finance confirms headcount and target compensation, HR confirms level and location, the sales leader approves the role outcome, and talent acquisition opens sourcing only after the workflow is complete.

Implementation Playbook

  • Capture why the role is needed, whether it replaces approved headcount, and which business outcome it supports.
  • Record employment type, location, level, compensation, budget, target date, hiring manager, and every required approval.
  • Require a documented change when approved scope, level, location, compensation, or headcount changes.

Common Mistakes

  • Treating an email or verbal request as an approved requisition.
  • Using requisition approval as job-description approval even though the role requirements remain vague.
  • Opening duplicate requisitions because teams cannot see the current vacancy or approval status.

Questions Recruiters Ask

What information belongs in a job requisition?

Include business reason, headcount type, role, manager, department, location, employment basis, level, compensation, budget, target timing, approvers, and links to the approved description and selection plan.

Can recruiters start sourcing before approval?

Teams may conduct general market research, but active recruitment should follow the organisation’s authorisation rules so candidates are not approached for an unapproved or materially uncertain vacancy.
