Recruitment Glossary

Candidate sourcing

Candidate sourcing is the deliberate identification and initial engagement of people who may be relevant to current or anticipated hiring needs. It can involve databases, professional networks, referrals, communities, events, research, advertising audiences, previous applicants, and direct outreach.

Recruiter Focus

Sourcers translate a role into searchable concepts, explore more than one talent route, verify basic relevance, record provenance, and approach people with accurate information. Finding contact details is not the same as having permission to submit, market, or retain a person indefinitely.

Why Candidate sourcing Matters

Applications alone may not reach enough of the relevant labour market, especially for specialised, location-bound, or newly created work. Systematic sourcing expands awareness and creates market insight, but indiscriminate scraping or bulk messaging can damage trust, introduce privacy risk, and hide weak qualification behind large activity numbers.

Terms Recruiters Commonly Compare

Recruitment marketing

Recruitment marketing builds awareness and encourages relevant audiences to engage or apply. Sourcing identifies particular people or profiles and begins a more direct qualification process.

Candidate screening

Sourcing establishes potential relevance from limited available evidence. Screening evaluates a person against defined role criteria after an appropriate application or conversation.

Recruitment Example

A recruiter sourcing maintenance planners maps adjacent titles, asset-heavy industries, planning systems, regional employers, professional groups, internal alumni, and previous consented candidates. They run several small searches, review evidence manually, and send an opportunity-specific message explaining the site, schedule, pay range, and reason for the approach.

Implementation Playbook

  • Hold an intake that separates essential capability from title, employer pedigree, and desirable experience.
  • Create a search map covering synonyms, adjacent backgrounds, target and excluded evidence, channels, geography, and hypotheses to test.
  • Record where each profile came from, why it appears relevant, contact rules, and the next review or deletion date.
  • Personalise with job-related evidence and give the person enough information to make a decision without a discovery call.
  • Measure qualified discovery and response quality across channels, not only profiles found or messages sent.

Common Mistakes

  • Searching only the hiring manager’s preferred job title and competitor list.
  • Sending a generic message that hides the employer, location, working pattern, or compensation range.
  • Adding public profile data to a permanent database without reviewing notice, purpose, and retention obligations.
  • Assuming no reply permits repeated contact from other recruiters in the same organisation.

Questions Recruiters Ask

Is candidate sourcing the same as headhunting?

Headhunting usually implies proactive search for a particular senior, scarce, or confidential appointment. Sourcing is broader and can support roles at any level, future pipelines, research, and multiple attraction channels.

Can recruiters contact someone using public profile information?

Public availability does not remove privacy, platform, marketing, or employment obligations. Use an approved process, a relevant and transparent approach, suitable contact frequency, and a clear way to decline further contact.

What makes a sourcing message effective?

It explains why the opportunity may be relevant, gives material facts, avoids invented familiarity, and makes the next step optional and easy. Accuracy and relevance matter more than superficial personalisation.
