Tagging a recruiter in a Note gives the right teammate immediate record context without moving the discussion outside ATZ CRM.
Quick Answer
Open a Candidate, Job, Company, Contact, or Deal record. Open its Notes tab, add or edit a Note, type @, choose a recruiter, and save.
The tagged recruiter receives an in-app notification. The notification identifies both the entity type and record name and opens the exact Note.
Availability
Note mentions are available on the Free, Business, and Enterprise plans. They are not available on the Pro plan.
ATZ CRM currently sends an in-app notification for a mention. It does not send a mention email.
Step 1: Open the Record’s Notes
Open the relevant Candidate, Job, Company, Contact, or Deal and select the Notes tab.
Click Add Note, then select a Note type if your account uses custom Note types.
Step 2: Tag a Recruiter
Type @ in the Note editor. Continue typing a name or email address to narrow the list, then select the recruiter.
The selected name appears as a mention token in the Note. You can continue writing and tag additional eligible recruiters before saving.
Only active, verified users who can currently view that record appear in the picker. You cannot tag yourself. This protects private or owner-restricted records from being exposed through a mention.
Step 3: Save the Note
Click Save. ATZ CRM validates the selected recruiters again when the Note is saved, so a recent role or record-access change cannot bypass permissions.
When you edit an existing Note, only recruiters newly added to that Note receive a new notification. Recruiters who were already tagged are not notified again.
Open a Mention Notification
The tagged recruiter can open the notification panel and select the mention notification. Each notification shows:
- Who tagged them.
- The entity type, such as Candidate or Job.
- The record name.
- When the notification was created.
Selecting it opens the record’s Notes tab and highlights the exact Note. Choose Show all notes to leave the focused view and return to the normal Notes list in batches of 10.
Mentions in Bulk Notes
If exactly one record is selected in a list or board bulk action, mentions are available because ATZ CRM creates one Note on one record.
If two or more records are selected, mentions are disabled. Add the bulk Note without tags, or open an individual record when a teammate must be notified.
Permission and Access Changes
A mention never grants access to a record. If a tagged recruiter’s role changes or they can no longer view the record, the notification link cannot be used to reveal the Note.
Deleted Notes and deleted or inaccessible records also cannot be opened from an older notification.
Troubleshooting
A Recruiter Is Missing from the Picker
Confirm that the user is active, verified, belongs to the same account, and has permission to view the current record. Also confirm that you are not trying to tag yourself.
Typing @ Does Not Open the Picker
Confirm that the account is on Free, Business, or Enterprise and that you are adding a Note to one supported record. Mentions are unavailable on Pro and in multi-record bulk Notes.
The Notification Does Not Open the Note
The Note or record may have been deleted, or the recruiter’s access may have changed. Ask an administrator to review the user’s role and record visibility.
FAQs
Can I tag a team instead of an individual recruiter?
No. ATZ CRM currently supports individual user mentions and does not include team mentions.
Is a recruiter notified again when I edit other text in the Note?
No. Editing the Note without adding a new recruiter does not create another mention notification.
Can I remove a mention before saving?
Yes. Remove the mention token from the editor before saving. Only valid mention tokens present in the saved Note are processed.
How many Notes appear after opening a notification?
The exact mentioned Note appears first in a focused view. Select Show all notes to load the regular paginated list, 10 Notes at a time.
