Off Limits helps recruiting and staffing teams protect sensitive candidates, contacts, and companies from accidental outreach or restricted recruiting activity.
Use it when a record should remain visible in ATZ CRM but should not be contacted, pitched, submitted, enrolled in sequences, or handled like a normal active record without review.
Quick Answer
Admins can mark candidates, contacts, and companies as Off Limit from the record actions menu or in bulk from list pages. Choose an Off Limit status, reason, notes, and optional expiry date. ATZ CRM then displays Off Limit indicators and can restrict risky actions based on your account settings.
Common Use Cases
Client Non-Poach Rules
Mark protected client companies or related people as Off Limit when your agreement prevents outreach or candidate movement.
Placement Cool-Off Periods
Use expiry dates for recently placed candidates who should not be approached again for a defined period.
Legal or Compliance Restrictions
Apply Off Limits to records that require careful handling due to legal, contractual, compliance, or blacklist rules.
Executive Search Sensitivity
Use Off Limits when senior candidates, strategic contacts, or confidential companies need an extra layer of visibility and control.
Who Can Use Off Limits
Off Limits is available on Business and Enterprise plans.
Users on other plans may be able to view Off Limit settings, but cannot mark, modify, or remove Off Limit records. Only Admin users can configure settings, create statuses, mark records Off Limit, modify details, or remove restrictions.
What Can Be Marked Off Limit
You can mark these records Off Limit:
- Candidates
- Contacts
- Companies
When a record is Off Limit, ATZ CRM shows a clear indicator on the record profile and list pages. The record name or avatar can also show a colored border based on the selected Off Limit status.
Configure Off Limit Statuses
Admins can create custom statuses from Admin Settings > Off Limit Settings.
Examples include:
- Non-Poach
- Client Protection
- Post-Placement Cool-Off
- Legal Restriction
- Blacklisted
- Unavailable
Each status can have a name, description, and color. The color appears on badges, avatar borders, and list indicators so recruiters can quickly understand the type of restriction.

Mark a Record Off Limit
Open a candidate, contact, or company profile. Click the actions menu and select Mark Off Limit.
In the dialog, choose:
- Off Limit status
- Reason
- Notes
- Expiry date, if the restriction should end automatically
You can use quick expiry options such as 30 Days, 60 Days, or 90 Days, or select a custom date.
Click Mark Off Limit to save the restriction.

Mark Records Off Limit in Bulk
You can mark multiple records Off Limit from list pages.
Select the records, choose the Off Limit bulk action, set the status, reason, notes, and expiry, then confirm.
Bulk updates are useful when applying a policy to imported restricted candidates, protected client contacts, or large lists of people connected to a protected company.

Mark a Company Off Limit
When a company is marked Off Limit, admin settings control whether related people should also become Off Limit.
If Apply company restrictions to contacts is enabled, contacts linked to that company are marked Off Limit automatically.
If Apply company restrictions to candidates is enabled, candidates whose current company matches the Off Limit company are marked Off Limit automatically.
This helps teams avoid accidentally contacting people connected to protected clients or restricted companies.
Use Domain Rules
Admins can add restricted domains in Admin Settings > Off Limit Settings.
For example, adding acme.com can automatically mark candidates and contacts with email addresses such as:
jane@acme.comrohit@acme.com
When a domain rule is added, ATZ CRM also checks existing candidates and contacts and marks matching records Off Limit. Domain rules are useful when company names vary but email domains are reliable.
Where Off Limit Records Appear
Off Limit records are visible in:
- Candidate lists
- Contact lists
- Company lists
- Candidate profiles
- Contact profiles
- Company profiles
- Off Limit filtered list views
- Advanced Search
In Advanced Search, you can filter by Off Limit status, source, reason, notes, and expiry date.
Review Off Limit History
Each Off Limit record has a history log.
The history shows:
- What action was performed
- Who performed the action
- When the action was performed
- Previous and updated values where applicable
- Notes or reason changes
For candidates, Off Limit history appears inside the candidate history area. For contacts and companies, it appears as an Off Limit History tab on the detail page.

Modify Off Limit Details
Admins can update an active Off Limit record by clicking Modify from the Off Limit panel.
You can change the status, reason, notes, or expiry date. The record remains Off Limit, and the update is captured in history.

Remove Off Limit
Admins can remove Off Limit when the restriction no longer applies.
Click Remove from the Off Limit panel and add a removal note. The record becomes available again, but the previous Off Limit history remains available for audit purposes.

What Happens During Restricted Actions
When a user tries to perform a risky action on an Off Limit record, ATZ CRM checks the restriction.
Restricted actions can include outreach, email, SMS, WhatsApp, sequence enrollment, pitching, candidate assignment, or similar recruiting workflows.
Depending on your account settings, ATZ CRM may block the action or show an override warning.
Troubleshooting
I Cannot Mark a Record Off Limit
Confirm your plan and permissions. Off Limits is available on Business and Enterprise plans, and only admins can configure or change Off Limit restrictions.
A Related Contact or Candidate Was Marked Automatically
Check company restriction settings. If company restrictions are enabled for contacts or candidates, ATZ CRM may apply Off Limits to related records automatically.
A Domain Rule Marked Too Many Records
Review the restricted domain and existing matching email addresses. If the domain is too broad, update or remove the rule and review affected records.
